Venue Outreach Email Template
A cold email template for booking bars, clubs, and small rooms — with the structure promoters actually respond to.
What this is
A plug-and-play cold email for reaching out to venue talent buyers, booking agents, and promoters. Two use cases: (a) asking to open for a touring or established act, (b) pitching yourself for a headline slot on a bill you're building.
Promoters get dozens of pitches a week. Most get deleted in under ten seconds because they read like fan letters or like the artist has never played a room. This template mirrors the format bookers already scan for: who you are, why this room, proof you can move tickets, and a specific ask.
You are selling two things: the show and the risk profile. A booker's job is to fill the room without losing money on the door. Every line in your email should reduce their perceived risk.
When to use it
Send it once you have three or more finished songs streaming somewhere, at least one live rehearsal or open-mic run under your belt, and either local social traction or a warm reason to be on that specific bill. Sending before you can actually put on a competent 20-minute set will burn the relationship — promoters remember.
Common mistakes
- Sending the same email to 40 venues with no personalization
- Pitching a headline slot when you've never played a live show
- Naming a "draw" number you cannot prove (bookers ask)
- Attaching giant files instead of linking a one-page EPK
- No specific date range or slot type — "let me know if anything comes up"
- Writing three paragraphs of backstory before the ask
- Following up more than twice, or following up within 48 hours
How to use it
- Research the room. Look at the last 60 days of their calendar. Note the genres and average draw. Skip venues that only book cover bands or heavy rock if you're a rapper — respect the room's identity.
- Find the right human. "Booking@" inboxes are the slowest path. Check the venue's site, their Instagram bio, or credits on past flyers. Established rooms often route through a talent buyer or promoter (Live Nation, AEG, or a local company like an independent promoter — varies by market).
- Personalize the hook line. One specific detail — a show you attended, a bill that inspired yours, the sound system, the fact that they booked artists in your lane recently. Generic hooks read as spam.
- Prove the draw. Use whatever is strongest: past headcounts (with the venue name), streaming numbers with a range, city-specific social following, or a co-sign from an artist they've booked. If you have none of these, admit it and offer to open cheap or early.
- Make the ask specific. Date range, slot type (opener, direct support, headliner), and a package (solo, DJ, band). "Any Thursday in the next 6 weeks, opening slot, 20-25 min set" is 100x more actionable than "let me know."
- Send between Tuesday and Thursday, mid-morning local time. Weekends are their work nights.
- Follow up once after 7 business days, then once more after another 10. If no reply, move on and revisit in 90 days with new material.

Hi Marcus,
Caught the Nayo Bells bill at The Loading Dock in February — the room
sounded incredible and the crowd was locked in the whole set. I saw
Vela is routing through on 4/18 and wanted to throw my hat in for the
local opener slot.
I'm Kase Tolliver, a boom-bap / soul-sample rapper out of East Atlanta.
Quick context:
- Headlined The Basement Room in Little Five Points twice in the last
6 months — averaged around 90 paid, both hard-ticketed
- New EP "Cold Room" dropped in March, sitting around 12K monthly
listeners on Spotify (typical for my stage; still growing)
- Solo set with DJ Ren on turntables, 25 min tight, we've run it live
a dozen times
I'd love to be considered for the 4/18 opening slot — 20-25 min works,
happy to trim to 15 if the bill is packed. Can also handle a stripped
set if load-in is tight.
